Corporate Terms and Conditions

The Spring Valley Golf Club is committed to ensuring your function is successful and enjoyable. In this regard, we require you to understand and agree to the following conditions and policies governing the use of the Club as a function venue.

1. Booking Agreement
A copy of the Booking Form along with the appropriate deposit is required to secure your booking.

2. Deposits and Payments
A deposit is required for all events. A invoice will be forwarded to you and payment is require to secure your booking. Final payments must be made in full 7 business days prior to your event and any additional purchases, including golf shop purchases and bar accounts must be settled on the day.

Acceptable Payment Methods:
Credit Card: The Club prefers Visa or MasterCard – please note a 1.35% surcharge applies.
EFTPOS: Available within the Club.
Cash: Please do not send cash by mail however accounts may be paid by cash in person at the Club.
Direct Deposit: Details are outlined on your invoice, please contact our accounts team for further information. 
Cheque: Payments must be received at least 10 days prior to your function.

Where the invoice has been requested to be addressed to another person, company or entity, personal liability for full payment remains the responsibility of the contract signatory.

3. Final Numbers and Number Variations
Final guest numbers are required seven (7) working days prior to your function. As full payment is required at the time of confirming final numbers, a reduction in the number of actual attendees will not result in a refund. Requests to increase the final number of guests (within five (5) days of the function) may only take place with the approval of the Club. Should a guaranteed number not be received, the attendance indicated on the Booking Form or the actual number in attendance, whichever is higher, will be applied for billing purposes.

Minimum billable numbers apply for all bookings – please refer to the package for further information. 

4. Catering and Dietary Requirements
All menu and beverage selections, must be finalised at least fourteen (14) working days prior to your function. Whilst every possible effort is taken to maintain menus and prices, management reserves the right to vary menus and pricing in response to product availability and cost increases.

Please ensure all dietary requirements are confirmed seven (7) days prior to the function. In the event where a guest has not advised of their dietary requirements, our Chefs will endeavour to supply an adequate meal. Whilst all care will be taken to identify guests who have requested a special meal ,the responsibility lies with the guest or client to identify themselves to our service staff.

5. Security
Spring Valley Golf Club reserves the right to employ Security staff as seen fit. The cost of Security staff will be an additional cost to the Function.

6. Loss or Damage
Loss or damage to the Club‘s property during the function will be the financial responsibility of the organiser. The Club accepts no responsibility for the loss or damage to merchandise or other property brought into the Club, prior to, during, or after the function.

7. Entertainment
The Club reserves the right to control the quality, style and volume of any entertainment taking place within the Club.

8. BYO Food and Beverages
No beverages or food may be brought into the Club by function organisers or their guests. (Celebration cakes etc. are acceptable however may be subject to service charges).

9. Conduct of Guests and Dress Regulations
The Club reserves the right to remove any guests from the premises if they behave in an unreasonable or inappropriate manner. The Club also reserves the right to refuse entry to guests who do meet our minimum requirements around suitable attire.

Under RSA (Responsible Serving of Alcohol) Guidelines, Spring Valley Golf Club reserves the right to:

  • Refuse service of alcohol to minors under 18 years of age or guests who cannot provide proof of age upon request.
  •  Refuse access or service to people who are suspected of being intoxicated, quarrelsome, disorderly or behaving in a violent manor.
  • Remove people from the Club premises who are acting in a manner deemed intoxicated, quarrelsome, disorderly or violent.

Our policy is to serve guests in a responsible, friendly and professional manner. We encourage drinking in moderation. The manager on duty reserves the right to stop alcohol and beverage service at any time to the individual or to the group as a whole.

10. Cancellation and Postponement
Cancellation of a confirmed function booking may involve the forfeit of your deposit. Please note the following deadlines:

  • Notification of cancellation with more than ninety (90) days notice will result in the full refund of your deposit.
  • Notification of cancellation with more than thirty (30) days but less than ninety (90) days notice will result in a 50% refund of your deposit.
  • Notification of cancellation with less than thirty (30) days notice will result in the forfeit of your deposit.

Postponement: Should your event be postponed with more than thirty (30) days notice, your deposit will be carried forward in full to the new booking date. Should your event be postponed with less than thirty (30) days notice your deposit is forfeited and a further deposit will be payable to secure the new booking date.

11. Room Hire
Room hire charges apply to all function rooms unless otherwise indicated. The Spring Valley Golf Club reserves the right to assign another room for the organised function in the event the room originally designated for such function is not available or inappropriate in the opinion of the Club.

12. Extended Hours, Public Holidays & Sundays
Rooms used outside normal trading hours (8am – 5pm, Monday to Friday) incur an additional charge:
10% surcharge is applied to all functions after 6pm Weekdays and all-day Saturday.
15% surcharge is applicable for Sundays and Public Holidays

13. Items Not Collected
Any items that have not been collected after the event will be disposed of after 14 days.

14. Trophies and Prizes
Trophies and prizes offered for competition on the day, including hole in ones, must fall within the limitations of the Amateur Status Rules of Golf

15. Signage
Signage can only be erected by Spring Valley ground staff and must be delivered to the Club the day prior to the event. A fee of $30.00 per sign will be charged for all on course signage. 

16. Mobile Phones

The use of mobile phones is not permitted in the clubhouse
